Do They Provide Samples, and How Consistent Are Batches

A serious supplier gives you the chance to see and test the material before the batch, if you ask. A sample matching your requested form (whole, cracked, ground or granule) and calibre lets you test the material at your own facility before ordering. The question to ask is: “Will what I have in the sample match the large batch?” Small batch-to-batch differences are natural when working with an agricultural by-product; but keeping that difference within acceptable limits depends on the supplier’s storage and blending discipline.

Another point often overlooked at the sample stage is testing under real-world conditions. On the fuel side, a small trial burn in your own boiler, or on the blasting side a small-scale application test on your own equipment, gives far more information than an analysis report on paper.

On the export side, it needs to be clear who prepares the certificate of origin, phytosanitary certificate and other required export paperwork, and when. What the buyer should ask: “Do you issue this paperwork, or do I need to run a separate process myself?”

Especially in granule and ground forms, grain-size tolerance is critical for feed systems to run without issues. The buyer should ask: at what stage is calibre set, and is it checked on every batch or by sampling?

Source Continuity: Can They Supply Regularly

With agricultural by-products, harvest timing and processing-plant output create a natural fluctuation in supply. For a one-off purchase this matters less; but for a facility running production year-round, the real question is whether the supplier can source material outside the season too. The question to ask: “Can you provide the quantity I need at regular intervals throughout the year, or is it only possible during certain periods?”

What the buyer needs to settle here: which delivery term do you want, what’s the destination port or arrival point, how will quantity be planned around container fill rate? These are practical details that should be discussed before the order to avoid shipment delays.

Transparent Communication and a Single Point of Contact

This may be the most overlooked criterion of all: through the order process, how many people and how many different channels are you talking to? Having to ask one person about the sample, another about the paperwork status and a third about the shipment schedule means, especially for an export buyer, wasted time and a real risk of miscommunication. A good supplier lets you move through the process, from start to shipment, via a single point of contact.
